At IU, using Outlook 2000, 2002, or 2003, how do I access my Exchange mailbox?
Note: If you use Outlook or handheld synchronization software and connect to Indiana University via an outside Internet service provider (ISP), you must establish a VPN connection before connecting to your Exchange mailbox. To configure Outlook to access your Exchange mailbox, first establish a network connection. Then open Outlook and follow the appropriate steps below.
Outlook 2002 and 2003
- From the
Toolsmenu, selectE-mail Accounts....
- Under "E-mail", select the radio button next to
Add a new e-mail account.
- At the next screen, under "Server type", select
Microsoft Exchange Server.
- Under "Exchange Server Settings", enter
ads.iu.edu. (In Outlook 2003, you will also see a checkbox for the optionalUse Cached Exchange Modefeature; see In Outlook 2003 and 2007, what is Cached Exchange Mode, and how do I enable or disable it?)
- Tab to the next line and type your username. Click the
Check Namebutton. If you are connecting from an outside Internet service provider (ISP), a login dialog box will appear. EnterADSin the "Domain:" field and log in with your Network ID.Note: In some cases, for your username, you may have to enter
ads\username(whereusernameis your username). - Click
More Settings..., and then select theSecuritytab.
- Check the box marked
Encrypt data between Microsoft Office Outlook and Microsoft Exchange Server. ClickOK.
- Click
Next, and thenFinish.

Outlook 2000
The directions below are for Outlook 2000 installed in Corporate or Workgroup mode.
- From the
Toolsmenu, selectServices....
- Under the
Servicestab, if "Microsoft Exchange Server" is not listed, add it. To do so, clickAdd..., and then, from the list, selectMicrosoft Exchange Server.
- With
Microsoft Exchange Serverhighlighted, click thePropertiesbutton.
- On the
Generaltab, enterads.iu.edu. The mailbox name should be your username (this should resolve to your last name followed by your first name when you click theCheck Namebutton in the following step).
- Click the
Check Namebutton to make sure you can connect to your mailbox server. If you are connecting from an outside ISP, a login dialog box will appear. EnterADSin the "Domain:" field and log in with your Network ID.Note: In some cases, for your username, you may have to enter
ads\username(whereusernameis your username). - In the "When Starting" section, select
Connect with the Networkrather thanWork Offline and use dialup networking. If you selectWork Offline and use dialup networking, all your mail will be moved off the server and downloaded to your home computer. (You can also selectChoose the connection type when starting. This will give you a prompt asking whether to connect or work offline every time you start Outlook.)
- If you connect via phone modem, under the
Dial-Up Networkingtab, select the name of the icon you usually use to connect to IU's PPP line. The "Domain:" field should readADS. ClickOKto exit theMicrosoft Exchange Server propertieswindow and return to theServiceswindow.
- In the
Serviceswindow, under theDeliverytab, make sure it saysMailbox - yourlastname, yourfirstnameunder "Deliver new mail to the following location". Make sure it does not sayPersonal Folders. If it saysPersonal Folders, change it. If you do not, then all the messages in your Exchange server mailbox will be moved off the server to your Personal Folders on your home computer, and will be unavailable from any other computer (your computer at work, for example).
- Click
OKto finish.
