At IU, using Outlook 2000, 2002, or 2003, how do I access my Exchange mailbox?

Note: If you use Outlook or handheld synchronization software and connect to Indiana University via an outside Internet service provider (ISP), you must establish a VPN connection before connecting to your Exchange mailbox. To configure Outlook to access your Exchange mailbox, first establish a network connection. Then open Outlook and follow the appropriate steps below.

Outlook 2002 and 2003

  1. From the Tools menu, select E-mail Accounts... .

  2. Under "E-mail", select the radio button next to Add a new e-mail account.

  3. At the next screen, under "Server type", select Microsoft Exchange Server.

  4. Under "Exchange Server Settings", enter ads.iu.edu . (In Outlook 2003, you will also see a checkbox for the optional Use Cached Exchange Mode feature; see In Outlook 2003 and 2007, what is Cached Exchange Mode, and how do I enable or disable it?)

  5. Tab to the next line and type your username. Click the Check Name button. If you are connecting from an outside Internet service provider (ISP), a login dialog box will appear. Enter ADS in the "Domain:" field and log in with your Network ID.

    Note: In some cases, for your username, you may have to enter ads\username (where username is your username).

  6. Click More Settings... , and then select the Security tab.

  7. Check the box marked Encrypt data between Microsoft Office Outlook and Microsoft Exchange Server. Click OK.

  8. Click Next, and then Finish.

Outlook 2000

The directions below are for Outlook 2000 installed in Corporate or Workgroup mode.

  1. From the Tools menu, select Services... .

  2. Under the Services tab, if "Microsoft Exchange Server" is not listed, add it. To do so, click Add..., and then, from the list, select Microsoft Exchange Server.

  3. With Microsoft Exchange Server highlighted, click the Properties button.

  4. On the General tab, enter ads.iu.edu . The mailbox name should be your username (this should resolve to your last name followed by your first name when you click the Check Name button in the following step).

  5. Click the Check Name button to make sure you can connect to your mailbox server. If you are connecting from an outside ISP, a login dialog box will appear. Enter ADS in the "Domain:" field and log in with your Network ID.

    Note: In some cases, for your username, you may have to enter ads\username (where username is your username).

  6. In the "When Starting" section, select Connect with the Network rather than Work Offline and use dialup networking. If you select Work Offline and use dialup networking, all your mail will be moved off the server and downloaded to your home computer. (You can also select Choose the connection type when starting. This will give you a prompt asking whether to connect or work offline every time you start Outlook.)

  7. If you connect via phone modem, under the Dial-Up Networking tab, select the name of the icon you usually use to connect to IU's PPP line. The "Domain:" field should read ADS. Click OK to exit the Microsoft Exchange Server properties window and return to the Services window.

  8. In the Services window, under the Delivery tab, make sure it says Mailbox - yourlastname, yourfirstname under "Deliver new mail to the following location". Make sure it does not say Personal Folders. If it says Personal Folders, change it. If you do not, then all the messages in your Exchange server mailbox will be moved off the server to your Personal Folders on your home computer, and will be unavailable from any other computer (your computer at work, for example).

  9. Click OK to finish.
