In Microsoft Outlook for Windows, how do I export my contacts to Excel or Access?
Note: UITS may no longer be able to verify the accuracy of information regarding Windows versions of Outlook older than 2000, and may not have the materials necessary to support them. Therefore, UITS recommends that you upgrade to a current version. At Indiana University, you can download a current version of Microsoft Office for Windows, which includes the current version of Outlook for Windows, from IUware Online. If you are in a department or using a Macintosh Outlook client, contact your local support provider (LSP) or the UITS Support Center before upgrading or changing your software.
To work with your Microsoft Outlook contacts in Access or Excel:
- Open Outlook and from the
Filemenu, selectImport and Export.... The Import and Export wizard will open.
- Choose
Export to a fileand click theNextbutton.
- Choose
Microsoft AccessorMicrosoft Excel, depending on how you want to work with your data. ClickNext.
- Select the
Contactsfolder and clickNext.
- In the resulting dialog box, enter a path and name for the
exported file (e.g.,
C:\Windows\Desktop\Contacts.xls). ClickNext.
- In the resulting dialog box, under "The following actions will be
performed:", select the checkbox next to the listed item (if it is not
already selected).
Note: In Outlook 97, you can also click theMap Custom Fields...button to display a dialog box in which you can specify the fields you want to include in the exported file. (This step is not necessary in Outlook 98.) The list on the right of theMapped Custom Fieldsdialog box displays the fields that are already designated to appear in the exported file. To specify only the fields you want, click theClear Mapbutton to clear the list of field titles. Then, drag the field titles you want to include in the exported file from the list on the left to the empty list on the right. When you've made all your choices, clickOK.
- Click
Finish. Outlook will create a new file containing your contacts in the exported format you designated.
