At IUB or IUPUI, how can I reserve an STC for a class?

Faculty at Indiana University Bloomington may reserve many of the Student Technology Centers (STCs) for classroom use by completing the online form. Faculty at IUPUI wishing to reserve an STC should contact their departments about available labs.

On this page:

Reserving an STC

To reserve a Student Technology Center (STC), follow the instructions below according to your campus.

Note: Due to their small size, high demand, and unsuitability as classrooms, Residential Technology Centers (RTCs) are not available for reservation.

IUB

To reserve an Indiana University Bloomington STC:

  1. To determine which center will meet your needs, visit the List of Labs.

  2. Consult the Schedule of Reserved STCs to determine which STCs are available on your preferred date and time. At the top of the schedule page, use the radio buttons and drop-down menus to define the time period you want to display.

  3. To reserve an STC, fill out the request form. Once your request is processed, you'll receive a confirmation via email.

Note: Your reservation is not complete until you receive your confirmation.

  4. To help maintain the accuracy of the posted STC schedules, please follow the site reservation guidelines listed below.

You can verify your reservations at any time by visiting the Schedule of Reserved Student Technology Centers. Reservations not on this schedule cannot be honored without your reservation confirmation.

Note: UITS consultants will not be present during your reserved time. If you need immediate technical help, call 812-855-3802.

Only full-time faculty and staff members are authorized to reserve an STC at IUPUI. To do so, check with your department.

The IT 131 multimedia rooms, however, are an exception; see At IUPUI, how can I reserve a multimedia room in IT 131?

Site reservation guidelines and practices

When planning for a reservation, faculty and staff should observe the following guidelines:

  • Requests must be made by faculty and staff. In order for student groups to reserve a center, reservation requests must be made by faculty sponsors who are either recognized IU instructors or academic support staff.

  • You must make reservations requests at least three business days before you need the lab. This is to provide ample notice to STC users who wish to plan their schedules by viewing the reservation grid at the beginning of each week. UITS recommends that you make critical reservations much sooner, especially when requesting specific centers.

  • It can take up to one business day for a request to be processed. Please plan accordingly when submitting requests.

  • The largest lab seats a total of 50. If you need more seats than that, you will have to make multiple reservations for multiple labs. Classroom size cannot exceed the number of seats provided, due to fire codes, and UITS will not provide extra chairs.

  • UITS will not accept reservation requests longer than three hours without justification.

  • UITS will not accept reservation requests before 8am or after 10pm without justification.

  • A 15-minute break is required between all classes. For a single-day reservation, you cannot select a lab unless at least 15 free minutes is available before and after your reservation.

  • UITS consultants are not present during classes. If you need immediate assistance in a UITS STC during your reserved time, please call Information Commons consulting (available 24 hours a day, 7 days a week) at 812-855-3802.

  • Lab reservations are for classroom instruction purposes. Instructors must be present.

  • Reservations will be held for 15 minutes after the scheduled starting time. If an instructor has not arrived by that time, the room will revert to open access. Repeated failure to cancel reservations inconveniences all lab users, students, faculty, and staff. Please be courteous.

  • Please cancel reservations you do not need. To cancel a reservation, from the STC home page, click Make a Reservation, and then click My Reservations History.

  • Site reservation does not control what software is installed on the computers. If you need special software for your reservation, you can request installation by completing the Software Request Form.

  • So that unused workstations remain accessible to other users, request a lab with a capacity as close to the class size as possible.

  • Occasionally, an STC staff member may need to enter a lab while it is occupied by a class. These individuals will make every effort to be discreet and minimize these interruptions. Thank you for your understanding and cooperation in these cases.

  • If you are making a request for a one-day reservation, the system will allow you to pick the lab. However, if you are making a request for a repeating reservation, the system does not allow you to pick the lab. To indicate your preferred lab for a repeating reservation, after you make your reservation, select My Reservations from the reservations menu. Select the reservation in question, and another screen will open. At the bottom of the screen, select Ask a Question and then type your lab preference. That information will be added to the ticket. UITS will try to honor your preference, if possible.

  • Projector codes are included with the confirmation email. If you need a new code, for security purposes, you must log into the STC Reservations Site to obtain a projector code. From the portal page, select Faculty or Staff and then View My Account/Reservations/Projector Code. Click the Continue button. Or, if you are already logged into the site, you can select My Profile from the Reservations menu.
